About the Role

Nexvoria is a growing technology startup building digital products and business solutions, including Kinviyo. We are looking for a hands-on HR & Admin Executive who can take ownership of day-to-day HR operations and help us build a structured, professional, and employee-friendly workplace. This role covers the complete employee lifecycle, including recruitment, candidate coordination, onboarding, attendance, leave management, employee records, payroll coordination, employee support, and exit formalities. As an early-stage startup, this role requires someone who can work independently, manage multiple HR activities, create processes from scratch, maintain confidentiality, and solve day-to-day HR requirements without depending on constant instructions. The selected candidate will work closely with the Founder and team leads and will gradually take ownership of routine HR operations so that the Founder can focus on business and product growth. This is an ownership-driven HR role for someone who wants to build and improve HR operations, rather than simply perform administrative tasks.

What You'll Do
  • Understand hiring requirements from the Founder and department/team leads and convert them into clear recruitment requirements.
  • Prepare and publish job postings on relevant hiring platforms.
  • Source candidates through job portals, LinkedIn, referrals, and other recruitment channels.
  • Screen CVs against job requirements and shortlist suitable candidates.
  • Conduct initial HR screening calls and interviews.
  • Coordinate technical, management, and final-round interviews.
  • Maintain candidate information, interview feedback, and recruitment status.
  • Coordinate interview schedules and maintain timely communication with candidates.
  • Follow up with candidates throughout the recruitment and selection process.
  • Prepare and coordinate offer letters and joining documentation.
  • Maintain an organized recruitment pipeline and hiring tracker.
  • Manage the complete employee onboarding process from selection to joining.
  • Collect and verify required employee documents and joining information.
  • Prepare and maintain offer letters, appointment letters, joining forms, and other HR documents.
  • Create and maintain employee profiles and records in the HR system.
  • Coordinate email, system access, workstation, and other onboarding requirements with relevant teams.
  • Conduct HR orientation for new employees and explain basic company HR processes.
  • Manage and monitor daily employee attendance.
  • Manage leave requests, leave records, work-from-home requests, and attendance exceptions.
  • Track late arrivals, absences, and other attendance irregularities and coordinate with employees or managers when required.
  • Maintain accurate monthly attendance and leave records.
  • Prepare accurate attendance inputs required for monthly payroll processing.
  • Maintain confidential employee records, agreements, HR documents, and employee master data.
  • Track probation periods, confirmation dates, notice periods, salary revisions, and other important employee milestones.
  • Coordinate monthly payroll inputs and verify employee-related salary changes before payroll processing.
  • Coordinate with the Founder, accounts team, CA, payroll consultant, or external professionals wherever required.
  • Act as the first point of contact for routine employee HR queries and support employees with HR-related requirements.
  • Coordinate employee engagement activities and team initiatives.
  • Support performance review, feedback, and employee check-in processes.
  • Coordinate employee resignation, notice-period, clearance, handover, and exit formalities.
  • Maintain complete and accurate employee exit records.
  • Create and maintain HR checklists, trackers, templates, and standard operating procedures.
  • Proactively track important HR deadlines and ensure activities such as probation confirmation, documentation, attendance, payroll inputs, and employee exits are not missed.
  • Prepare basic HR reports and summaries for the Founder and management.
  • Identify gaps in existing HR processes and recommend practical improvements.
  • Help implement HR tools and systems to reduce manual HR work and improve process efficiency.
  • Take ownership of routine HR operations and reduce dependency on the Founder for day-to-day HR activities.
  • Maintain strict confidentiality of employee, salary, company, and other sensitive information.
What We're Looking For
  • 1–3 years of experience in HR, HR Operations, HR Generalist, Recruitment, or a similar role.
  • Practical experience in recruitment, candidate screening, interview coordination, and hiring operations.
  • Experience conducting initial HR screening calls or interviews.
  • Experience handling employee onboarding and HR documentation.
  • Experience managing attendance, leave, and employee records.
  • Basic understanding of payroll processes and monthly payroll inputs.
  • Good working knowledge of MS Excel and Google Sheets.
  • Strong written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Excellent follow-up and coordination skills.
  • Ability to maintain accurate and confidential employee records.
  • Ability to independently manage routine HR operations with minimal supervision.
  • Ability to handle multiple HR activities and priorities simultaneously.
